PRIVACY NOTICE

Your workspace data stays separated.

Effective October 15, 2026. This notice explains the current Closer Signal pilot and self-service data practices. A signed enterprise agreement and its data-processing terms control where applicable.

Service operator: Closer Signal is operated by Aureon Ventures LLC.

Core approach: Company data is separated by workspace, access follows role and sharing controls, and identifiable enterprise records are not used to train a shared model for another company.

1. Data we collect

  • Account data: name, work email, phone, role, company, authentication and onboarding details.
  • Sales-workflow data: customer and opportunity details, follow-ups, goals, activity, sales volume, training progress, and approved CRM-derived information.
  • User-selected private content: private messages, notes, calendar details, coaching context, and uploaded files or conversations.
  • Usage and security data: feature activity, AI request and token counts, device or browser information, audit events, errors, and reliability signals.

2. How data is used

Data is used to provide and secure the service; organize follow-up and customer memory; calculate approved business metrics; generate coaching, retention, routing, and team-fit recommendations; support users; monitor capacity and reliability; and meet legal obligations.

3. Company metrics and user choice

A company may require appropriate business data—such as sales totals, activity, follow-ups, goals, or assigned training—to be shared with authorized managers. Optional content is shared only when the user selects that setting. Product controls keep designated private categories restricted even when broader business metrics are visible.

4. Uploaded conversations and AI

Closer Signal analyzes recordings or transcripts only when an authorized user uploads them; the service does not record calls. Uploaded content and its structured analysis remain scoped to the customer workspace. AI receives only the context needed for the requested feature, subject to configured redaction and sharing controls. Outputs are recommendations for human review.

5. Reusable pattern frameworks

Closer Signal may preserve generalized workflow structures, scoring methods, or non-identifying behavioral frameworks learned while improving the product. These frameworks are designed not to contain a company’s customer records, names, messages, transcripts, recordings, rep-level records, or confidential business data. Identifiable enterprise data is not transferred into another customer’s workspace.

6. When data is disclosed

Data may be disclosed to authorized users in the same workspace according to their role and sharing settings; to service providers that host, secure, support, or process the service under appropriate restrictions; when directed by the customer; or when required to protect rights, safety, and legal compliance. Closer Signal does not sell personal data.

Phone numbers and optional coaching texts

A mobile number is required to complete account setup. Motivational texts, tour check-ins and return-to-training reminders require a separate optional choice. Adding a number does not subscribe you. Closer Signal records your consent choices and uses its messaging provider to deliver the texts you request. SMS consent data is not sold or shared for another party's marketing. You may pause coaching texts in Profile or reply STOP. Message and data rates may apply. Security alerts have separate account settings.

7. Storage, retention, and deletion

Data is stored in service infrastructure with logical workspace separation and access controls. Sensitive supported fields are protected at rest using configured encryption, and data is protected in transit. Retention settings and contractual requirements determine how long customer data is kept. Authorized users may request access, correction, export, or deletion through the in-product Help section or their account administrator, subject to legal and operational retention needs.

8. Security

Safeguards include authentication, role-based authorization, workspace scoping, audit logging, restricted public file access, security headers, and monitoring. No system can guarantee absolute security. Users should keep credentials private, use only authorized devices, and report suspected access promptly.

9. International and regional requirements

Teams may operate in multiple countries. Before a broad international deployment, the customer and Closer Signal should document applicable data locations, transfer mechanisms, retention requirements, and any industry-specific obligations in the enterprise agreement.

10. Children and prohibited data

The service is intended for business users and not children. Do not submit full card numbers, bank credentials, passwords, government identification numbers, or other highly sensitive data that is unnecessary for the supported sales or service workflow.

11. Questions and changes

Privacy questions or rights requests can be submitted through the in-product Help section or the customer’s account administrator. Material updates will be reflected by the effective date above, with additional notice when required.
